How we handle your personal data

This policy explains what personal data Urban Homes Guide collects, why we collect it, how we use and protect it, and the rights you have. It is written to meet the Kenya Data Protection Act, 2019, the EU and UK General Data Protection Regulation (GDPR), the UK Privacy and Electronic Communications Regulations (PECR), and the US CAN-SPAM Act.

What data we collect

We only collect data you give us directly through forms on this site. We do not buy personal data or scrape it from other sources.

  • Property enquiry forms: your full name, email address, phone or WhatsApp number, country, the project you are interested in, and any optional message you write.
  • Newsletter signup: your email address, the date you signed up, the page you signed up from, your IP address at the moment of signup, the version of the consent wording you agreed to, and the date you confirmed.

We record the signup IP address and timestamp only as proof that consent was freely given, which is something data protection law expects us to be able to show.

Why we use your data and our lawful basis

  • To respond to a property enquiry: we use your details to send official Unity Homes pricing, floor plans, and payment options, and to have a sales consultant follow up. Our lawful basis is taking steps at your request before any possible contract, and our legitimate interest in answering people who ask us about a property.
  • To send the weekly newsletter: we use your email address to send the weekly guide. Our lawful basis is your consent, which you give by ticking the optional checkbox and then clicking the confirmation link in the email we send you.

How the newsletter consent works

The newsletter uses double opt-in. The consent checkbox is never ticked for you. When you tick it and submit the form, we send you one email asking you to confirm. No newsletter is sent until you click the confirmation link in that email. If you never click it, you receive nothing further, and your address is not added to the sending list. Every newsletter we send includes a one-click unsubscribe link, and you can withdraw your consent at any time.

Who we share data with

We never sell your data, and we never share your email address with third parties for their own marketing.

  • When you submit a property enquiry, we share the enquiry details with the Unity Homes Kenya sales team so they can answer you. That is the whole point of the form.
  • We store form and subscriber records in a cloud database and send email through our own mail server. These providers process the data only to deliver the service to us.

International transfers

Some of the services we use to store data and send email run on servers outside Kenya. Where your data moves across borders, we rely on providers that offer appropriate safeguards for the data they handle on our behalf.

How long we keep your data

We keep property enquiry data for as long as your enquiry is active and for a reasonable follow-up period after it. We keep newsletter subscriber data until you unsubscribe or ask us to remove it, after which we delete it or keep only a minimal suppression record so we do not email you again by mistake. We do not keep data for longer than we need it.

How we protect your data

We limit who can access your data, use reputable providers for storage and email, and protect confirmation links with a signed token so they cannot be guessed or reused by someone else. No system is perfectly secure, but we take reasonable technical and organisational steps to keep your data safe.

Cookies

This site uses only essential cookies needed to make pages work. We do not set third-party advertising or cross-site tracking cookies. Because we do not use non-essential tracking, there is no advertising profile built from your visit.

Your rights

Under the Kenya Data Protection Act and the GDPR you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is wrong or incomplete;
  • ask us to delete your data;
  • object to or restrict how we use your data;
  • withdraw your consent to the newsletter at any time, with no effect on messages already sent.

Complaints

If you believe we have mishandled your data, you can complain to the Office of the Data Protection Commissioner in Kenya at odpc.go.ke. If you are in the EU or UK, you can also complain to your local data protection authority.

Children

This site is meant for adults considering a property purchase. It is not directed at anyone under 18, and we do not knowingly collect data from children.

If we change how we handle data, we will update this page and change the date at the top. Please check back from time to time.
